REFORMA DC METRO AREA CHAPTER
Wednesday, 10/24/07 at Montgomery County Public Library-Rockville

Meeting called to order at 3:23pm

In attendance:

Lucia Acin-Andion (REFORMA-DC Vice President)

Mario Ascencio (REFORMA National President)

Everette Larson (member)

Michelle Hinojosa Melencio (REFORMA-DC Secretary)

AnaRita Puertas-Myers (REFORMA-DC Treasurer)

Betty Valdes (REFORMA-DC President)

Need to Increase Membership

AnaRita sent an email to Sandra Rios requesting a list of past members and current members. She provided Sandra with her personal Gmail account, as she was having issues with her county email.  She gave her a FedEx account number to send the list. Mario affirmed that the National office is working on updating membership files and that Sandra is aware of the DC Chapter’s need for this information and will give her complete attention to this issue as soon as possible, as we need more members to “come back” to us.  Mario suggested that Betty talk to the National Office Membership Chair (Isabel Espinal at the University of Massachusetts), and to other chapter presidents throughout the US to work on ideas on what they’re doing. That way, the DC Chapter is not reinventing the wheel. Other chapters may have a template letter sent to former members requesting for them to come back to the organization.

REFORMA Brochure

Lucia worked on the REFORMA brochure, and everyone concurred that it looked great.  Mario has a graduate student who knows how to design brochures and could have these printed out in color.  This would be an in-kind donation from George Mason University. There is no compliance necessary for the REFORMA logo.  Everette recommended that Publisher be used to make the brochure.

A few suggestions were made:

  • The brochure needs to focus on REFORMA-DC, not just REFORMA.
  • An application should be in the back of the brochure.
  • The brochure should have photos, particularly photos celebrating diversity.

This brochure could be used at the library schools, or for those who are already in the profession.  This can also be sent out to various list-serves throughout the D.C. area (i.e. librarian profession list-serves, DC Web Women, etc.), encouraging new members to join.

Networking with ASIST and ARL

Michelle has been in touch with the PVC ASIST Chair, Jeff Prater.  Jeff is suggesting a networking event on 12/13 with REFORMA, ASIST, and ARL.

REFORMA-DC-“Welcome Back” Party

Some suggestions given on where we could have a welcome back party were: the MLK Library, the Hispanic Reading Room at the Library of Congress, Provisions Library (Dupont), CAPCON, CUA, and the ALA office in DC.  It was ultimately decided that since we need to form a relationship with ARL that we would reach out to them to inquire about hosting a party at their office.  The date of the party will be on January 4, 2008.  We can celebrate Tres Reyes.  Everette suggested preparing bibliographies for activities we can do in our libraries to celebrate Tres Reyes.  Bibliographies would only be sent out to members of REFORMA, preferably through the list-serve.  Once the date and location have been confirmed, we will send out a “Save the Date” email on the REFORMA-DC list-serve.

Treasurer’s Report

REFORMA-DC’s account is with Wachovia. Our current funds are a little under $1,001. We have not been reimbursed for this year’s membership.  Mario noted that membership dues are broken down as follow: 1/3 of the dues go to the National office; whereas, the other 2/3 goes to the chapter.  We’ll be at just about $1200 when we get the chapter dues back from National.  We were charged fees for not using the account for the year 2007, but the fees were reimbursed since Mario has connections to Wachovia.  At least one activity is needed per year to maintain the free account.  We have a checkbook.  Mario, Betty, and AnaRita need to go to the Foggy Bottom Wachovia branch together to make the smooth transition over from Mario’s name on the signature card to Betty and AnaRita’s name on the signature card.  The online banking option can be set up.  The Foggy Bottom branch is open on the weekends.  Mario, Betty, and AnaRita will determine a time that works out the best for them.  REFORMA National does the auditing of the accounts as needed.

REFORMA National-President’s Vision

Mario discussed REFORMA’s background and history.  He mentioned how REFORMA has never applied for grants, but that he envisions the organization doing so in the future.  We’ve been a volunteer organization for 36 years now.  REFORMA is partnering up with the National Science Foundation to create science materials for libraries. If a grant is approved, this would allow 20-25 librarians to be trained.  The chair of the fundraising committee has been asked to focus on grants that will help our organization focus on a start-up for an office.  REFORMA is looking for organizations where we wouldn’t have a conflict of interest.  We need the technological infrastructure for a REFORMA office.  Some ideas for a REFORMA office could be at a library school.  Our logo needs to be changed, and the time is now.  Camila Alire, Dean at University of Colorado is running for ALA President.  She could use our support.

Action Items

  • Betty will email Isabel Espinal to request for samples of letters (re: membership).
  • AnaRita will need to create a form for in-kind donations, since National doesn’t have a form.  AnaRita will also contact National to ask about the tax ID number.
  • Everette and Lucia Acin-Andion will work on editing the REFORMA-DC brochure.  Mario will provide feedback.
  • Mario will contact ARL to see about hosting a “welcome back” party at their office for REFORMA members.
  • Michelle will post REFORMA announcements when ready and given the go ahead on the following list-serves: MLA, VLA, DCLA, DC/SLA, LLSDC, UMD, CUA, and PVC/ASIST.  She needs to find out if she can post on these websites since membership is required for some of these list-serves.
  • Mario will make sure that Betty is on the board list-serve, and that AnaRita is on the treasury list-serve.
  • Michelle will contact Jeff Prater about the ASIST networking dinner.
