Position Vacancy

LIBRARY ANNEX COORDINATOR
Librarian (PLB1-3A)

Position Description : Reporting to the Head, Access Services, the Library Annex Coordinator oversees the daily operations of the off-site storage facility, including supervision of annex staff. This position is responsible for the strategic planning of the long-terms needs of an off-site storage facility.

Specific Responsibilities :
·        Uses advanced knowledge of the library inventory system (Ex Libris Alma) to oversee the workflow of processing materials of different formats, including books, journal, audio-visual media, archival boxes, and microforms:
o   Correctly accessions, verifies and de-selects items entering or being withdrawn from the Library Annex by inputting information into Alma.
o   Creates duplicate barcodes, shelf labels, and tray labels using advanced knowledge of Zebra Design Pro Hardware and Software.
o   Uses advanced knowledge of scanning hardware and software to accurately document the location of each tray in the annex.
o   Verifies record file loads are imported correctly and troubleshoots problems.
o   Coordinates with technical staff to troubleshoot any problems or other issues and that may develop.
·        Directly supervises 1 FTE annex staff member, requiring competent and effective hiring, training, communication, coaching, performance management & appraisal, conflict management, and recognition.
·        Directly supervises student staff and/or temporary staff, requiring competent and effective hiring, training, communication, coaching, performance management & appraisal, conflict management, and recognition, as necessary.
·        Uses advanced knowledge of the library software system (Alma) to check the accuracy of cataloging records and update circulation and location information.
·        Oversees and processes tray and box production, including unpacking, assembling, and labelling cardboard trays.
·        Oversees and processes incoming materials, including unpacking, inspecting, and sorting materials and sizing and placing materials into trays.
·        Uses advanced knowledge of ILLiad to oversee the interlibrary loan process, including filling requests for loans by printing out requests; pulling materials from the shelves or microform cabinets, and preparing material for delivery. Processes, scans, and electronically deliver articles.
·        Uses advanced knowledge of Alma to oversee the delivery service, including filling requests for loans for University of Iowa users by printing out requests, pulling materials, and preparing material for delivery.
·        Oversees the re-filing of materials. Re-shelving materials in the warehouse requires use of an automated lift and portable scanner, including the digital entry upload to update Alma.
·        Coordinates collection project work, including withdrawals; shared print; and others.

·        Creates reports for collection management, including data analysis for statistical trends, collection growth, ingestion rate, withdrawal rate, retrieval time, and others as necessary.

·        Drafts procedures, guidelines and best practices, periodically reviewing, typically in consultation with staff at storage facilities in the Big Ten Academic Alliance and peer libraries and collections-focused staff at the University of Iowa Libraries.

·        Coordinates on-site use of materials, including user verification; scheduling reading room; explaining policies and procedures; pulling materials; ensuring use; and proper re-shelving.

·        Safely uses the various heavy machinery including a power lift, electric pallet jack, and order picker to place storage trays on shelves in warehouse up to twenty feet high. Participates in all required OSHA and other safety training in order to use the heavy machinery. Oversees the maintenance of all heavy machinery in facility. Trains annex staff on the operation and use of the power lift and handheld computer to retrieve and re-shelve material. Safely lifts heavy boxes up to chest height and pushes heavy carts. Coordinates book cleaning equipment.
·        Reports and coordinates resolution of facilities and custodial issues with the UI Facilities Management and building owners. Works closely with contractors, building owners, and library staff to monitor the cold storage environmental conditions.
·        Serves as member on the University of Iowa Libraries Collections and Storage Team.
·        Contributes professionally through local, state, and national professional organizations and publications.
Assumes other responsibilities as assigned.

Required Qualifications :
·        Master’s degree from an ALA-accredited library science program.

·        Experience with daily operations of an academic library or storage facility.

·        Demonstrated ability to successfully work in a team environment.

·        Demonstrated ability to work creatively in a rapidly changing environment.

·        Excellent interpersonal and communication skills.

·        Demonstrated commitment to diversity in the workplace or community.

Desired Qualifications :
·        Experience supervising library staff and/or students.

·        Experience with the Alma software.

·        Experience with interlibrary loan or circulation services.

·        Experience working with physical collections, such as identifying preservation needs.

·        Experience with scanning hardware and software.

·        General understanding of the mission and functions of a research library.

Salary and appointment : Appointment will be made at the Librarian (PLB1-3A) level within a salary range of $47,476 to $49,000 depending on qualifications and experience. Start date is negotiable.
