     Job Description
     This position leads and manages the Document Delivery Services (DDS) unit, which provides interlibrary loan and document delivery services to Northern Arizona University and Coconino Community College students, faculty and staff. Document Delivery Services is a unit within Cline Library’s Content, Discovery, and Delivery Services department.
The successful candidate will promote outstanding customer service and seamless delivery of content to library users. The position supervises DDS staff, oversees the work of additional personnel who perform DDS processes, and hires and oversees the work of student employees. The Library Supervisor stays abreast of trends and best practices in order to improve processes, services, and the user experience; helps troubleshoot hardware and software problems; proactively evaluates equipment needs; and contributes to technical solutions that increase performance efficiencies. The Library Supervisor reports to the Head of Content, Discovery and Delivery Services and serves on the department leadership team.
Duties and responsibilities
•     Oversee daily operations of the DDS unit, ensuring that productivity and customer service expectations are met.
•     Supervise DDS staff (approximately 3 FTE staff and 10 student workers), including hiring, training, timekeeping, performance management, and evaluation. Oversee the work of other staff who perform DDS processing. Promote a positive work environment and provide growth and development opportunities for DDS staff and student employees. Develop and manage student wage budget.
•     Provide guidance and direction to staff, setting clear goals and measurable objectives.
•     Serve as a member of the department leadership team. Contribute to discussions related to workflow improvement and modification, the deployment of personnel for new initiatives, etc.
•     Ensure that DDS policies, procedures, and service expectations are met. Communicate processes clearly to users and library colleagues. Evaluate and improve processes to make them more user-friendly, efficient, and effective. Investigate, implement and promote technical solutions that automate DDS processes and improve efficiencies.
•     Create, deploy, evaluate and improve training materials and programs that help library staff and student employees understand interlibrary loan and document delivery processes and policies.
•     Promote an environment in which all staff and student employees are encouraged to contribute ideas for new and enhanced services.
•     Represent the DDS unit, communicating with students, faculty, and library staff to clarify policies and promote services.
•     Participate in the work of the DDS unit, processing requests and troubleshooting issues to ensure requests are completed in a timely manner. Provide outstanding customer service, including promptly resolving issues related to misunderstandings, unfilled requests, unpaid fines, and lost materials.
•     Manage DDS-related accounts and related tasks, including overseeing DDS fine processing in collaboration with User Services, creating invoices for lost and damaged books, and tracking Interlibrary Loan Fee Management (IFM) fees.
•     Collaborate effectively with customers, library staff and interlibrary loan and document delivery personnel in other institutions.
•     Assess the work of the unit. Run reports, compile statistics, analyze unit activities, and identify strategies to improve work processes and customer service. Oversee the accurate tracking and reporting of DDS statistics used for annual reporting and other purposes.
•     Troubleshoot and correct problems with interlibrary loan and document delivery requests. Collaborate with library technology staff to troubleshoot hardware and software issues.
•     Keep skills current and keep up with trends and developments related to position responsibilities.
•     Actively participate in achieving organizational priorities through cross-training in other library units. Participate in and contribute positively to library-wide planning and initiatives.
•     Perform other duties as assigned, including but not limited to participation in a variety of Library projects and initiatives.
     Minimum Qualifications
     •     Bachelor's degree AND two years related library experience; OR,
•     Six years progressively responsible related library experience; OR,
•     Any equivalent combination of experience, training and/or education.
     Preferred Qualifications
     •     Supervisory experience including hiring, training, evaluation and performance oversight.
•     Experience with interlibrary loan and document delivery processes and tools.
o     Project management experience.
     Knowledge Skills and Abilities
     •     Experience with library tools and technologies, especially those used in interlibrary loan and document delivery. Examples include ILLiad, RAPID, Odyssey, and licensed electronic resources.
•     Experience with using technology in a library setting to provide services, automate processes and analyze data.
•     Evidence of excellent planning, organizational and time management skills. Ability to manage multiple, shifting priorities in a demanding customer service environment.
•     Evidence of a high level of productivity and flexibility when working independently or in teams.
•     Ability to communicate and work effectively and collegially with people from a diverse and inclusive community.
•     Attention to detail and problem solving skills.
•     Experience in and strong commitment to outstanding customer service in a user-centered environment.
•     Demonstrated flexibility in adapting to changing technologies, workflows and responsibilities.
•     Demonstrated ability to work under pressure and meet deadlines.
     Background Information
     Northern Arizona University requires satisfactory results for the following: a criminal background investigation, an employment history verification and a degree verification (in some cases) prior to employment. You may also be required to complete a fingerprint background check.

Additionally, as an employer in the state of Arizona, NAU is required to participate in the federal E-Verify program that assists employers with verifying new employees' right to work in the United States.
Finally, each year the Northern Arizona University Police Department releases an annual security report. The report is a result of the federal law known as the Clery Act and contains policy statements that address the school’s policies, procedures and programs concerning safety and security including policies for responding to emergency situations and sexual offenses. The report contains three years of data for Clery reportable crime statistics for the campus along with the most current year’s Fire Safety Report, which includes policy statements and fire statistics for Flagstaff on-campus student housing.

     Salary
     This position's pay grade is 52. The salary range for this paygrade can be found on the CLS Grade Schedule.
**The starting salary will be determined by the qualifications of the selected applicant balanced with departmental budget availability, internal salary equity considerations, and available market information. We anticipate paying the successful candidate a salary between $40,480 and $46,480, depending upon their experience.

     FLSA Status
     This position is exempt from the overtime provisions of the Fair Labor Standards Act (FLSA) and therefore will not earn overtime or compensatory time for additional time worked.
