Digitization Coordinator and Registrar
The Rare Book & Manuscript Library (RBML)
University of Illinois Library at Urbana-Champaign

Position Available: As soon as possible after closing date. This is a full-time, Academic Professional position in the University Library.

Duties and Responsibilities: The University of Illinois seeks an innovative professional to lead and manage the expansion of public access to world-class rare book and archival collections across multiple material formats held at the University of Illinois. Reporting to the Head of The Rare Book & Manuscript Library (RBML), the Digitization Coordinator and Registrar provides and coordinates digitization services in the RBML and the Special Collections Division, and coordinates the use, management and loans of materials in RBML and the Division.

The Registrar will collaborate with units within the Special Collections Division including The Illinois History and Lincoln Collections, the Map Library, the Sousa Archives and Center for American Music, the Student Life and Culture Archives, and the University Archives, as well as with the Main Stacks and other cross-campus units as needed.

Specific responsibilities include:
·       Oversees the coordination of RBML’s collection management program, including registration of loans; exhibitions, digitization and conservation projects. Provides registrarial services to Division units upon request.
·       Liaises directly with University or Library units such as Risk Management, University Counsel, Contract Service Office, Interlibrary Lending, and Preservation to ensure rare and valuable materials are appropriately handled and protected as they are put on loan, used by patrons, digitized or conserved in accordance with national and consortial guidelines.
·       Negotiates loan agreements; provides curatorial assistance; arranges for suitable transport (including acting as courier domestically and/or internationally as needed for high-value items) and secures appropriate levels of insurance; full documentation of all loans; and specialized packing.
·       Uses specialized subject knowledge and investigative research skills to appropriately manage the collections, particularly when determining conservation needs, copyright status, and fulfilling patron and consortial reproduction or loan requests.
·       Mediates reproduction requests to determine which can be handled internally within RBML and/or other units in the Special Collections Division, and which require support from Digitization Services.
·       Coordinates the use, updating and maintenance of RBML and Division collections management software for tracking loans, exhibits, class visits, and reproduction requests. Analyzes use trends for future resource planning.
·       Refines library policies and procedures as they relate to the handling and use of Division materials and collection management in the RBML.
·       In consultation with the Head of RBML, leads activities related to the Interlibrary Loan of RBML materials through the Big Ten Academic Alliance (BTAA). Serves as the RBML representative in discussions related to the BTAA’s special collections interlibrary loan program as needed.
·       Prepares or assists with grant applications to enhance access and preservation of collections.
·       In consultation with the Head of RBML, leads the development, funding, completion, and ongoing maintenance of RBML and Division digital projects, including working with content creators, metadata creators, and imaging specialists.
·       Supervises project staff, students, and volunteers as needed for special projects that improve access to RBML collections and services.

Qualifications:
Required:
·       Graduate degree in library and information science
·       Minimum two years relevant experience with descriptive bibliography, archival, and/or reference techniques
·       Reference experience and proficiency in use of the Internet and Library on-line catalogs for bibliographic searching
·       Ability to communicate clearly in person and in writing
·       Minimum one year experience in a public service role
·       Evidence of ability to exercise independent judgment
·       Demonstrated ability to work systematically and accurately
·       Demonstrated ability to work collegially and collaboratively with others in a team environment
Preferred:
·       Prior employment in an archives or rare book library
·       BA in humanities or social science
·       Knowledge of at least one non-English language, preferably Latin, German, or French
·       Supervisory experience
·       Understanding of standards and systems for digitization, digital projects and digital preservation
·       Working experience with digitization projects
·       Experience with creating and/or revising library policy
·       Experience with grant writing, grant management, and grant reporting

Salary and Rank: Salary commensurate with credentials and experience.

Terms of Appointment: Twelve-month appointment; 24 annual vacation days; 11 annual paid holidays; 12 annual sick-leave days (cumulative), plus an additional 13 sick-leave days (non-cumulative) available, if needed, each year; health insurance requiring a small co-payment is provided to employee (with the option to purchase coverage for spouse and dependents); required participation in State Universities Retirement System (SURS) (8% of annual salary is withheld and is refundable upon termination), with several options for participation in additional retirement plans; newly-hired employees are covered by the Medicare portion of Social Security and are subject to its deduction.
