Assistant University Librarian for Administrative Services

The University of California, Irvine Libraries seeks an innovative, creative, flexible, and knowledgeable leader to join our organization as Assistant University Librarian (AUL) for Administrative Services. The successful candidate will join an enthusiastic staff in developing an excellent research library for a university ranked nationally among the best. The AUL has an unusual opportunity to actively participate in shaping the quality and character of the Libraries during a time of change, challenges, and new opportunities.

Responsibilities

Reporting to the University Librarian, the AUL for Administrative Services is the senior administrator responsible for ensuring effective and efficient utilization of the financial, facilities, and human resources of the UCI Libraries and directs the Libraries’ planning, assessment, and research efforts.   In close collaboration with the University Librarian, the AUL coordinates the Libraries’ strategic planning and organizational development programs. The AUL directly supervises the Administrative Services Division, consisting of three departments (Human Resources, Finance, and Facilities) with a current professional and clerical staff of twelve individuals. The AUL works with Administrative Services staff to establish goals and objectives for the division and is responsible for the overall planning, budgeting, resource allocation and administration of the division.

The AUL for Administrative Services provides leadership within the Libraries for human resources management, employee relations, and staff development; for space planning and facilities utilization; and for financial services and budget allocation. The AUL oversees recruitment, hiring, performance evaluation, and training of staff at all levels; promotes excellent management skills throughout the Libraries; and works to develop a positive work environment. In addition, the AUL provides expertise and vision in the development of grant proposals and is responsible for coordinating the grants program/process.

As director of the Libraries’ planning, assessment and research efforts, the AUL for Administrative Services ensures that excellent research, analysis, planning, measurement, and reporting are integral parts of all programs and services in the UCI Libraries. The AUL develops and manages the Libraries’ capability to conduct effective planning, and directs ongoing and targeted assessments of resources and services. The AUL leads the Libraries’ strategic planning and analysis for the effective allocation of new resources and the reallocation of existing resources including budgets, staffing, and space, to meet current needs, and to anticipate future priorities. In this role, the AUL works closely with an array of people and units across the Libraries and the University on a wide variety of issues.

As a member of the UCI Libraries’ Leadership Council, the senior management team for the Libraries, the AUL for Administrative Services shares responsibility library-wide for collaborative, innovative, and excellent leadership, management, and decision-making; ensures organizational effectiveness and efficiency; and shares in library-wide responsibilities for resource management and development of library policies.

Working closely with other University offices and leaders, the AUL ensures that the Libraries are in alignment with UC policies, initiatives, and strategic directions. The AUL for Administrative Services represents the Libraries at the UCI Academic Senior Managers (ASM) group, a campus-wide group of academic assistant deans or assistant dean level academic positions.   In addition, the AUL is an active participant in the UC Human Resources Officers group and works collaboratively with colleagues from other UC campuses to share information and resolve issues of UC-wide concern. The AUL for Administrative Services represents the Libraries in other University, regional, and national bodies as appropriate.

Required Qualifications

•    Master’s degree or higher in library or information science or other relevant discipline.
•    Experience as a collaborative team builder in a complex environment with superior judgment and excellent interpersonal skills.
•    Experience in comprehensive administrative operations and adept at creating on-going operational efficiencies.
•    Strong capability for strategic thinking and leadership.
•    Strong analytical and conceptual abilities to anticipate and solve problems and initiate actions for effective management of a complex, multi-functional library.
•    Strong commitment to staff development and morale.
•    Extensive knowledge of and substantial experience in managing programs, projects, and operations within a complex organization.
•    Relevant experience in one or more higher education organizations.
•    Mastery of statistics, metrics, and assessment techniques that help the Libraries and the campus achieve their goals.
•    Able to independently advance a project or function, collaborate as a team player, and interact successfully with all levels of staff within and outside the Libraries
•    Displays a professional demeanor and integrity in interpersonal relations and inspires trust
•    Able to stay calm and poised under pressure and remain focused in a rapidly changing environment.
•    Willingness to take initiative to solve problems with high energy and a positive attitude.
•    Excellent organizational skills and ability to learn new processes quickly.
•    Superior oral and written communications skills including facilitation and consultation capabilities.
•    Ability to work effectively with staff in a multicultural and diverse environment.

Preferred Qualifications

•    Relevant experience in an academic or research library.
•    Advanced knowledge of statistical theory.
•    Experience with space planning and management of multi-year, large scale projects.
•    Experience in a labor union environment.
•    Experience with grant development.

The Libraries

The UCI Libraries are committed to innovation and excellence and are in a major period of change. The Libraries consist of the Langson Library, the Ayala Science Library, the Library Gateway Study Center, and the Grunigen Medical Library. These buildings contain over 3, 600 public seats for study and research and provide more than 600 public access computers. The UCI Libraries have a staff of approximately 140 FTE plus approximately 30 student assistant FTE. The library collection consists of over 3.4 million volumes and over 86,000 journals and serial titles and an aggressively expanding electronic resources collection. The UCI Libraries are a member of the: Association of Research Libraries (ARL), California Digital Library (CDL), Coalition of Networked Information (CNI), Center for Research Libraries (CRL), Council on Library and Information Resources (CLIR), International Federation of Library Associations and Institutions (IFLA) and Scholarly Publishing & Academic Resources Coalition (SPARC).

Salary & Benefits: Salary commensurate with qualifications and experience. The University has an excellent benefits program including leave policies, retirement system, and insurance plans which equal approximately 40% of salary.
