For the Delivery, Description and Acquisition Team (DDAT)
The University of Arizona, University Libraries, Tucson

POSITION SUMMARY:
The Library Information Associate is responsible for coordinating production area work, which includes document delivery for UA-owned material, interlibrary loan, digitization projects and video-streaming production. The incumbent responds to customer requests related to the work in these areas.

The highest priority work of DDAT is the acquisition, discovery and delivery of information needed to support our primary customers' teaching, research and learning needs; both ordering and interlibrary loan (ILL) support obtaining information; both cataloging and metadata work support discovery; ILL and all document delivery services provide delivery of information. This team is also responsible for planning, coordinating and implementing in-house digital scanning and reproduction work which merges the application of metadata and cataloging on a single team. The functions of this team implement the information access/acquisition policies and apply the cataloging and metadata strategies, schema and standards that are set by this team in coordination with other teams in the library. This team is responsible for implementing emerging access strategies (e.g. Patron Driven Acquisitions (PDA), Get It System Toolkit (GIST), etc.) to support the most cost effective and user-friendly acquisition of content for campus teaching and research needs.

All Library staff members are charged with advancing the mission and vision of the Libraries through system-wide thinking and shared responsibility for successful teams. Individuals are responsible and accountable for problem- solving, process improvement and maintaining quality standards, and are empowered to make decisions at appropriate levels.

THE UNIVERSITY OF ARIZONA LIBRARIES MISSION STATEMENT: The University of Arizona Libraries and Center for Creative Photography advance the University's mission through the active contributions of knowledgeable staff who choose cost effective methods of acquiring, curating, managing, and connecting customers to information services and resources and providing education in their use.

TEAM MISSION STATEMENT: The Delivery, Description, and Acquisition Team promotes learning, discovery and continuous access to information through the acquisition of resources, their delivery, and the management of metadata. We also provide printing and digitizing services.

TEAM VISION STATEMENT: We acquire, describe, and deliver information to anyone, anytime, anywhere.

WORK SCHEDULE: Full-Time; TU-TH 12-9pm, F-SA 9a-6p. Staff may be required to occasionally fill in behind night and weekend staff to meet the needs of library customers.

DUTIES & RESPONSIBILITIES:

A.      Coordination of the DDAT Production Area (65%):

* Develops and updates training documentation, and trains student employees to accomplish the work of the production area.
* Assesses competency levels in production area work for student and staff employees, and communicates and follows up with employees regarding assessment outcomes as appropriate.
* Monitors workflow, and adjusts work schedules as needed to meet a 24 hour turn-around time seven days a week.
* Ensures accurate data is gathered as defined by the team for all services.
* Collects, enters and reports monthly data.
* Contributes to the overall marketing plan for all DDAT services as appropriate.
* Provides feedback to Access and Information Services Team (AIST) staff trained to process interlibrary loan borrowing requests for developmental reviews.
* Assigned functional work utilizes a variety of systems to support document delivery, interlibrary loan, video streaming and other services, for example: Illiad (interlibrary loan and document delivery management software) and campus course management systems (D2L).
* Searches incoming interlibrary loan borrowing, lending and document delivery requests. Searches library online systems to determine availability of items. This requires searching online databases, UA catalog and Google to verify citations and make corrections to requests.
* Performs a high level of interlibrary loan borrowing functional work related to problem solving, such as conditionals, unfilled requests and extensive searching.

B.      Provides Document Delivery Customer Services (25%):

* Adheres to schedule for providing customer service approximately 8-10 hours per week. Additional hours may be assigned as needed.
* Responds to questions/inquiries for document delivery, interlibrary loan, video streaming and Express Document Center services, and provides reference assistance applicable to DDAT services.
* Educates customers to be self-sufficient in submitting requests and using the UA library catalog to search electronic journals.
* Troubleshoots customers' technical problems such as "dead links", Adobe Acrobat (installation and use), video streaming access, etc.

C.      Team Work/Responsibilities (10%):

* Actively participates in and follows-up on assignments from DDAT and library-wide meetings, discussions and training sessions, DDAT and library-wide projects and selection committees, or fills in for those on projects.
* Facilitates meetings and participates in decision making; makes presentations as needed; works collaboratively with team members for data collection, needs assessment and analysis to demonstrate quality of work, continually improve customer access, and for creating, maintaining and updating documentation of work processes.
* Participates in the libraries' performance management system by writing performance and learning goals, tracking progress, actively participating in developmental reviews of self and colleagues by following library and team guidelines and using Constructive Dialogue approach; receives coaching and mentoring from peers and team leader regarding goals, team quality standards, work processes and cross-functional teams' project charges.

MINIMUM REQUIREMENTS:   Bachelor's degree AND two years related library experience; OR Six years related library experience; OR, Any equivalent combination of experience, training and/or education approved by Human Resources.

HIGHLY PREFERRED QUALIFICATIONS:
* Demonstrated ability to coordinate a service area that includes being proactive in assessing service for efficiency, effectiveness and meeting operational goals.
* Demonstrated customer service skills, including taking a proactive approach to meeting customer need, assisting customers, coordinating with peers in order to effectively meet customer need, and initiating effective interventions that result in customer satisfaction.
* Demonstrated excellent communication and organization skills, including the ability to work with detail and attention to accuracy, follow through, multi-task and prioritize.
* Demonstrated ability to work proactively and constructively to identify, define and solve problems with team, between teams and with individuals on teams.

DESIRED QUALIFICATIONS:
* Demonstrated ability to hire, train, coach, mentor and assess work performance of student employees (i.e. student assistants) and evaluate individuals based on established expectations and goals.
* Demonstrated initiative and use of good judgment, and solid analytical, problem-solving and negotiation skills.
* Demonstrated ability to acquire and apply new technology skills, such as utilizing digitizing software and digitizing equipment.
* Skill in process improvement and cost/systems analysis.
* Knowledge of OCLC/Worldcat systems.
* Knowledge of interlibrary loan and systems (Illiad).
* Knowledge of multiple databases and indexes, i.e. Worldcat, PsychINFO and Ebscohost, etc.
* Demonstrated ability with word processing, spreadsheet and email applications (i.e., Microsoft Access, Excel and Outlook).
* Ability to work with diverse people and serve a diverse population.
* Ability to create effective training documentation, deliver training and assess learning outcomes.
