POSITION SUMMARY:

The Library Information Associate Senior coordinates activities at AIST service sites which support the education needs of customers, promoting safe and secure learning spaces in a 24/5 environment. The incumbent in this position assists customers with research needs by providing reference, information and technology assistance in accessing and using the collections of the University of Arizona Libraries. The incumbent also coordinates the work of student employees, including training and supervision. The incumbent works in collaboration and provides leadership in the coordination and enhancement of Library’s reference service. As a member of the team strategic planning team, the incumbent regularly attends and participates in conferences or user group meetings bringing back information for team environmental scanning and strategic planning processes. The incumbent provides analysis support of a wide variety of data to management and makes recommendations for process improvements. The incumbent supports the library in its mission and vision in providing excellent customer service and by serving on functional and cross-functional teams. As customers’ needs change, the work and hours of this position may change as needed within the team and appropriate to the position of Library Information Associate Senior. The incumbent performs all work necessary to meet the changing needs of the Library’s customers. As a result, team and Library work are periodically negotiated within the team, the end product being an updated job description defining individuals’ work as well as performance expectations.



Work Hours:   Full-time; M-F, 9a-6p. Work Schedule Note: hours/shifts as needed for sick/vacation coverage, semester breaks and summer sessions.   



DUTIES AND RESPONSIBILITIES:



* Reference Support, including Special Collections Public Desk Oversight (45%):

-Works in collaboration with Library colleagues to enhance the Library’s reference service and library research process training programs through the creation of new content and evaluation and refresh of existing content. Provides training for e-mail reference, monitors the e-mail reference accounts and chat transcripts for quality control and provides data collection and analysis in support of the Library’s reference service. Participates in the formal observation process for new and continuing employees with specific emphasis on quality reference service.

-Collaboratively manages the Special Collections Reading Room; including active participation in Special Collections work team meetings; problem solving issues impacting the Special Collections service site, collections or customers; assists in ensuring that opening and closing policies and procedures are established and followed; proactively communicating to desk providers updates and alerts regarding the Special Collections service site; planning for and conducts observation of Special Collections staff - including appropriately planning and working collaboratively with Special Collections work team for individual and team competency development.



* Customer Service (23%):

-Oversees an AIST service site: Provides customers with reference, technology and circulation assistance (via online chat and email) including locating library information, resources, materials and services; negotiating overdue accounts and answering billing and collections questions; troubleshooting software, computers and other equipment such as laptops (including reimaging laptops), projectors, printers, and photocopiers. Provides leadership including solving problems and making non-routine decisions using sound judgment, following through to solve process and customer service issues, and coordinating the work of and supervising student employees. Meets team quality standards for work within this area.

-Ensures safety of library customers and employees and security of library materials through application of library and University policies and procedures. Acts as a liaison with University Police Department (in regards to reporting criminal activity or emergency situations), Campus and Library Facilities (in regards to building problems), Library Systems (in regards to library equipment problems) and as needed Risk Management (in regards to reporting incidents) during evening and weekend hours. As needed, responsible for opening/closing and securing Special Collections, Main or Science Libraries.



* Service Site Work Responsibilities and Team Participation (22%):

-Adheres to team expectation for keeping up-to-date on email correspondence and online calendar. Actively participates and follows-up on assignments in AIST team and library-wide meetings, discussions and training sessions, AIST and library-wide projects and selection committees, or fills in for those on projects. Facilitates meetings, makes presentations as needed, participates in decision making and completes assignments, including shared work team responsibility for data collection, needs assessment and analysis to demonstrate quality of work and to continually improve customer access and creating, maintaining and updating documentation of work processes. Works collaboratively with other individuals and teams both virtually and in-person.



-Participates in the libraries' performance management system by writing performance and learning goals, tracking progress, actively participating in developmental reviews of self and colleagues by following library and team guidelines and using Constructive Dialogue approach; receives coaching and mentoring from supervisor regarding goals, team quality standards, work processes and cross-functional team's project charges.



* Complex Assignments/ Project Management (10%)

-Utilizing specialized software (quantitative and qualitative analysis), assists with the collection, organization and compilation of team customer data. As a member of the team strategic planning team, the incumbent regularly attends and participates in conferences or user group meetings bringing back information for team environmental scanning and strategic planning processes. The incumbent provides analysis support of a wide variety of data to management and makes recommendations for process improvements.

-Participates with team facilitation and delivers presentations to team and library-wide. Provides analysis support of a wide variety of data to management and makes recommendations for process improvements.

-Works pro-actively and constructively to identify, define and solve problems within own team, between teams and with individuals in team. As a member of the team strategic planning team, the incumbent regularly attends and participates in conferences or user group meetings bringing back information for team environmental scanning and strategic planning processes.



MINIMUM QUALIFICATIONS:

Bachelor's degree AND three years progressively responsible library experience; OR, Seven years progressively responsible library, information center or related experience; OR, Any equivalent combination of experience, training and/or education approved by Human Resources.
