ALA Midwinter Conference Report

The RNCII Planning Committee will be meeting at the ALA Midwinter Annual Conference, San Antonio,

on Saturday, January 15th, 2-4pm for a business meeting. You are invited to attend. Please also check

the RNCII web page at: http://www.reforma.org/rnc2/ for the latest information on the conference.

Below are reports from the various RNCII Planning Committee Chairs. If you have any questions, want to make some recommendations, WANT TO VOLUNTEER, please contact the committee chairs or contact me.

CONFERENCE CENTER

In September the decision to move Exhibits to the Conference Center was made. In addition, the use of eight meetings rooms in the Conference Center was recommended. Contract for space in the Lower Exhibit Hall and for the eight meeting rooms was requested. Follow-up is being handled by our local contact , Jana Rae Oliver, Metropolitan Tucson Convention & Visitors Bureau (MTCVB).

REGISTRATION

Bid for handling conference registration has been received from Ernest Martin, ALA Assoc. Executive Director. Bid was in the range of $5000 for an estimated attendance of 500. Discussion will continue at this Midwinter with Mr. Martin. Given the high costs, negotiations have also been started with Bon Voyage Travel (Tucson) to handle airfare plus registration. Hotel reservations contract is under discussion with MTCVB.

REFORMA BROCHURE

Brigida Campos finalized text for the REFORMA brochure this last Fall. RNCII has printed copies and started the use of these in RNCII publicity and outreach. The brochure was first available at FIL and proved to be very popular. RNCII is only printing copies for use in conference planning. Overall printing plans for REFORMA need to be discussed at Ex. Board level.

KEYNOTE SPEAKERS

Ms Sara Martinez Tucker, President and CEO of the Hispanic Scholarship Fund has agreed to be a keynote speaker at the RNCII Opening Session. Ray Suarez, now at NewsHour with Jim Lehrer, formerly at NPR Talk of the Nation has also been invited to speak at the conference.

The Planning Committee is currently discussing the following fee schedule.

As much as possible fees are being kept low to encourage participation. It has also been recommended that the $105 On-Site Non-member fee be lowered.

A MIDWINTER RECEPTION has been planned to highlight and draw support for REFORMA and RNCII. This reception, currently in the works, will be held on Saturday, January 15th, 8-10pm, at the Marriott Rivercenter Hotel (the conference headquarters hotel). Bill Gordon has graciously lent us his ALA suite for this event.

RNCII PRECONFERENCES

A new preconference has been added to RNCII. This new preconference is "Serving Latino Communities: A How-To-Do-It Workshop for Beginners", August 3rd, 8:30-12:30pm. Fee: $40.

Description: A half-day workshop designed for professionals who want to initiate aggresive efforts to provide library services to underserved Latino communities. Handouts will be provided. Presenters are:

Dr. Camila Alire, Dean of Colorado State Libraries, Fort Collins, CO., and Orlando Archibeque, Social Science Bibliographer at the Auraria Library, serving the Community College of Denver, Metropolitan State College of Denver, and the University of Colorado at Denver - co-authors of Serving Latino Communities: a how-to-do-it manual for librarians, New York, Neal-Schuman, c1998.

The first announced preconference "Electronic Resources for a New Majority" was described fully in the Summer REFORMA Newsletter. Both preconferences will be publicized via a new brochure which premiered at FIL and will be available at Midwinter.

EXHIBITS

The Exhibits Committee mailed packets of information to over 300 potential exhibitors for RNCII. These packets included information about Tucson and the conference, as well as information of interest to exhibitors and a registration form. We also asked these exhibitors to consider corporate sponsorship of some RNCII events. Exhibitors must indicate initial interest in exhibit space by January of 2000, with final payment due in June -- so we are looking forward to a large and successful Exhibits area at RNCII!

The Exhibits material is also now available at the RNCII web page.

The Exhibits Committee has been working closely with the Local Arrangements Committee to plan events that will attract people to the Exhibits, including: exhibitor breakfast; no-conflict exhibit time; author signings and readings; door prizes/giveaways; prizes for best booths.

We are also planning poster sessions on a varietiy of topics to be presented in the Exhibits area. If you are interested in providing a poster session, please contact a member of our committee for an application form

Applications forms will also be issued via REFORMNET in the near future.

We welcome any additional suggestions or ideas regarding exhibits at RNCII.

AWARDS COMMITTEE - RNCII Library School Award: The Power of Education

The RNCII Library School Award Committee (or Award Committee for short) is planning the process for honoring a library school during RNCII. The deserving library school will be ALA accredited and will be exceptional in the following areas as they relate to Latinos in the U.S.:

  1. recruitment of students, faculty, and staff
  2. retention of students, faculty, and staff
  3. enrollment of students
  4. hiring of faculty and staff
  5. curriculum
  6. scholarships
  7. mentoring
  8. other programs
Look for a call for nominations to be sent out on February 15, 2000. Our tentative deadline for nominations will be June 16th , with the winner being notified by July 7th. To put the award in context and to provide a forum for what excellence in library schools means to us, we are also planning a program on library school education. FUNDRAISING

We have successfully raised about $20,000 to date. We still have a ways to go to meet our $70,000 goal. This money will be used to pay speakers, fund special programs, pay for scholarships to bring library school students to our conference, and lower the costs per person for meals at our special events.

There are many things you can do to help us meet our targeted goal. It's easy and fun!

Lando and Camila LOCAL ARRANGEMENTS

The Local Authors Committee has contacted the following authors who have agreed to participate at RNCII: Miguel Juarez, Byrd Baylor, Patricia Preciado Martin, Demetria Martinez, Ofelia Zepeda, Felipe Molina, Minnie Valenzuela, Albert Rios, and Bobbie Salinas. The committee is arranging for two author luncheons. The Tucson Unified School District Bilingual Education Department can sponsor Bobbie Salinas-Norman, a children's author. She recently won the Tomas Rivera award for literature. Ofelia Zepeda, a Native American author, will also be asked to speak at an author's luncheon. She has recently been named a MacArthur "Genius" Fellow. The other authors will be available to sign books and also to speak in the exhibits area.

The Hospitality Committee will be meeting with Karen Tulgren from the Metropolitan Visitor's Center to inquire about hotel and travel arrangements.

Three receptions/and or dinner events are being planned by the staff. The first BIENVENIDOS RECEPTION will be held at the Main Library on Thursday night. The Friends of the Tucson-Pima Public Library will sponsor this evening event. The AWARDS/CULTURAL NIGHT will be held at the Music

Hall on Friday night. Entertainment will be provided. We are exploring the possibility of showing the movie Luminarias after the ceremonies are over and extending the invitation to the local community. The director of the film has expressed an interest in participating. We are also exploring the idea of a reception for an art show at the Tucson-Pima Arts Council before the Awards/Cultural night activities. The DINNER/DANCE EVENT will take place at the Holiday Inn on Saturday night. Costs of these events for conference participants has not yet been determined.
