GUIDELINES FOR SUBMISSION OF PAPERS FOR PUBLICATION
July 1, 2000

The proceedings of the 2nd REFORMA National Conference will be published as a selective anthology of the papers and talks presented at the conference. In making its selections, the RNC2 Publications Committee will take into consideration the following: quality of writing, contribution to a balanced representation of topics, and appropriateness to the conference theme: "The Power of Language: Planning for the 21st Century."

Submissions Deadline October 2, 2000

Style Manual
Use the ALA author guidelines "Ten Musts for Authors Preparing ALA Editions Manuscripts" at http://www.ala.org/editions/guidelines.html. Follow the direction to use the Chicago Manual of Style (13th or 14th edition) for punctuation, capitalization, etc. Use its Author-Date style for footnotes. Exceptions to the "Ten Musts": 1) the instructions in #4 do not apply to the electronic file; 2) in #7 ignore references to chapters in books and submit one series of footnotes for your paper.

Format
Submit a diskette with the file in Word95 or above.  You may also send the file in an email attachment in Word95 or above.  In either case one paper copy of your submission is required with double-spaced text.  The text in the electronic file should be single-spaced.

Length 1,000 to 3,000 words

Abstracts and Author Biographies
Please include an abstract of your paper, a short summary of the major points.  The length should be from 50 to 100 words.  Also include a short
biographical paragraph (two or three sentences).

Illustrations
You may submit tables, graphs or other illustrations but if they are not original you must obtain permission from copyright holders to include them in your submission.

Permissions
In general, follow the guidelines set forth in "Ten Musts." However, keep in mind that your deadline for submitting your paper to our Committee is relatively short, so if there is a long piece of text or an illustration that you need to get permission for, you should ask for permission as soon as possible. Permissions are usually granted by contacting the copyright owner or the owner's authorized agent. Often the copyright owner is named in the formal copyright notice accompanying the original work. The first step should be to contact the author or publisher. The Copyright Clearinghouse Center (CCC) also may be able to simplify the process. It acts as an agent on behalf of thousands of publishers and authors to grant permission. The CCC web page is http://www.copyright.com.

There may be a fee attached to the permission. For educational purposes, most copyright owners tend to be cooperative. Permission should be documented by a letter that the grantor signs and returns. The letter requesting permission should precisely describe the proposed use of the copyrighted material. The permission needs to encompass the full scope of the asker's needs. The letter should also have these words at the bottom of the letter: "Permission granted for the use requested above: By: Title: Date: ." See sample letter.)

Releases
If your paper is accepted by the RNC2 Publications Committee, you will be asked to sign a release giving that committee complete authority to enter into an agreement with a publisher on your behalf.  Although the committee will do its best to ensure that all selected papers will appear in the final volume, the publisher may not include them all.  If your paper is excluded by the publisher, there is no recourse.

Tape Recording
The Committee will not accept tape recordings of your presentations as submissions to the anthology.  However, if you would like to have your
session taped to use as a backup as you prepare your written paper, let the Committee know by July 14 so that the equipment can be requested.

Publisher As of this date a publisher has not been selected for the proceedings book.

Notification of Receipt
You will receive email notification that your submission has been received.  If you prefer, include in your packet a stamped self-addressed envelope or postcard and we will use that to notify you that your submission has been received.
