Job purpose
Development Officer at The Newark Public Library is a key member of the Development Department’s team executing cultivation, fund raising and volunteer activities to reach its annual goals. The Development Officer provides oversight and management of the organization’s database ensuring accurate acknowledgment and stewardship of donors; creates the tools needed to support the Library Director and Director of Development’s donor relations; oversees all aspects (planning, preparation and execution) of the annual Gala and provides assistance with other fundraising events, and manages the Volunteer Program.
The Development Officer is familiar with a variety of the field's concepts, practices and procedures.
Duties and responsibilities
The primary job duties and responsibilities include but are not limited to the following:
Fundraising
· Work collaboratively with the Development Team in establishing fundraising priorities for the Development Plan and in partnership with the team to reach annual goals
· Advise management in trends in the philanthropic field
· Maintain quality control and manage the Raiser Edge database (NXT)
· Provide daily report of donations received to the Library Director and Director of Development
· Ensure thank you letters and acknowledgments are prepared and sent
· Identify potential sponsors and individuals and write targeted requests
· Research individual donor information to prepare Director and Director of Development for donor meetings
· Manage the planning, execution, follow up of cultivation for fundraising events including the annual gala, Philip Roth Lecture, Beyond the Stacks, Ambassador events, etc.
· Approach individuals, corporations and foundations to request support and funding to the Library and follow up as directed
· Review and update with Development Director departmental procedures annually
· Maintain a positive relationship with donors (stewardship, acknowledgement, meetings, invite to events, etc.)
· Attend Board Development Committee meetings to take minutes and stay abreast of the board fundraising priorities
· Organize and execute fundraising mailing including but not limited to the Annual Report, Year End Appeal, and Holiday Card
· Project manage the Annual Report
· Prepare periodic reports for Development Director on progress
· Performs some administrative duties as needed
Volunteer Management
· Review, revise and implement system-wide Volunteer Program annually
· Supervise and coordinate the work of the volunteers assigned to the Development team
· Recruit volunteers for events and projects
· Monitor development events to ensure implementation and completion and provide assistance to volunteers during the process
· Manage volunteer partnerships with internal and external partners
· Prepare monthly reports as required by management that accurately reflects activity and performance
